Team Management

Team Management is where you invite people to your organization, set what they can do, and manage seats. You find it under Settings, on the Team Members screen.


Who can access it

Only admins can open the Team screen. Members are sent back to the dashboard if they try to reach it, so inviting, changing roles, and removing people are all admin actions.

The two roles

Inletbase keeps roles simple. There are two:

Admin

Full access to the organization: forms, chatbots, contacts, and analytics, plus team, billing, settings, API keys, and the activity log.

Member

Can view and export the day-to-day data, such as submissions, forms, chatbots, contacts, and analytics. Members cannot open the team, settings, API keys, or activity log, and cannot manage billing or settings. Good for teammates and client hand-offs.

One person is the owner (marked as Primary in the list). The owner has a few extra powers, covered below and in Organization Settings.

Inviting a member

  1. Click Invite User at the top right of the Team screen.
  2. Enter the person's email address.
  3. Pick a role, Member or Admin.
  4. Click Send Invitation.

Inletbase emails them an invite link to join your organization. The invitation is valid for 7 days. If your plan's seat limit is reached, the Invite User button is turned off and shows the reason.

Managing members

The members table shows each person's email, role, whether they are the owner (Primary), and when they joined. Two actions are available, depending on who you are:

  • Change a role: only the owner can switch someone between Member and Admin, using the edit button next to that person.
  • Remove a member: the owner can remove anyone. A regular admin can remove members only, not other admins or the owner. You cannot remove yourself. Removing asks for confirmation first.

Pending invitations

Invitations that have not been accepted yet appear in a Pending Invitations list with the email, role, and when it was sent. Click Cancel to withdraw one. Inletbase emails the person to let them know the invitation was canceled.

Seats and plan limits

Your plan sets how many people you can have. Both active members and pending invitations count toward that limit. If your team ends up over the limit, the members beyond it are marked Inactive and cannot use the dashboard until you make room. You will see a banner with an Upgrade Plan button to restore access, or you can remove people to free up seats. See Billing & Plans for how seats work per plan.

Who can manage the team?

What is the difference between an admin and a member?

Admins have full access, including team, billing, settings, API keys, and the activity log. Members can view and export data such as submissions, forms, chatbots, contacts, and analytics, but they cannot open the team, settings, API keys, or activity log, and they cannot manage billing or settings.

How many people can I add?

It depends on your plan. Both active members and pending invitations count toward your seat limit. If you go over, the extra members become inactive until you upgrade or remove someone.

Who can change a member's role?

Only the organization owner can change someone's role between admin and member.

Can I remove another admin?

The owner can remove anyone. A regular admin can only remove members, not other admins or the owner. You cannot remove yourself.

Do invitations expire?

Yes. An invitation is valid for 7 days. You can also cancel a pending invitation at any time, which emails the person to let them know.
